How to Merge Two Outlook Calendars

When a user's Outlook account is compromised and a new email account needs to be set up, merging the old calendar with the new one can help retain important scheduling information. Prerequisites

  • Access to both the old and new Outlook accounts.
  • Both calendars should be available in Outlook on your desktop.

Step 1: Open Outlook and Access Both Calendars

  1. Open Outlook on your desktop.
  2. In the Navigation Pane, go to Calendar.
  3. Make sure both the old and new calendars are visible. You might need to add the old calendar using the steps below:
    • Go to the Home tab and click Open Calendar.
    • Select From Address Book or Open Shared Calendar, then add the old calendar.

Step 2: Select the Source Calendar (Old Calendar)

  1. In the Calendar View, locate the old calendar (compromised account).
  2. Click to select it.
  3. Switch to the View tab and select List from the Current View options. This will make copying events easier.

Step 3: Copy Events from Old Calendar

  1. Press Ctrl + A to select all the events in the old calendar.
  2. Press Ctrl + C to copy all selected events.

Step 4: Paste Events into the New Calendar

  1. Navigate to the new calendar (new email account).
  2. Click anywhere in the calendar area to ensure it is active.
  3. Press Ctrl + V to paste the copied events from the old calendar to the new calendar.

Step 5: Confirm the Merge

  1. After pasting, review the new calendar to ensure that all events have been transferred successfully.
  2. You can switch back to the Day, Week, or Month view for better visualization.

Step 6: Remove the Old Calendar (Optional)

  1. If you no longer need access to the old calendar:
    • Go to the Navigation Pane.
    • Right-click on the old calendar and select Delete Calendar or Remove from View.

Additional Tips

  • If you have recurring meetings or shared events, re-check if any additional re-acceptance is required for them to appear correctly.
  • Ensure that the user’s new account has the correct permissions to access shared calendars or events that were originally associated with the old account.

Troubleshooting

  • If any events do not appear in the new calendar after copying, try repeating the steps, ensuring that all events are selected.
  • For large calendars with many items, consider breaking up the copy process into smaller chunks to avoid performance issues.
