Manager's Off-boarding Checklist

Immediate Actions

  1. Confirm termination details (date, reason, PAF) with HR.
  2. Notify PCSupport@vantageapparel.com or call 732 340 3434.
    1. When to disable the account.
    2. Who to gets the forwards.
  3. Remove access to critical systems not controlled by IT immediately if termination is involuntary.
    1. Change ALL shared passwords.
    2. Company social media.
    3. Customer portals.
    4. Departmental cloud tools.
  4. Send appropriate communication to avoid security, confidentiality risks.

Before Last Day

  1. Communicate with team about impending departure.
  2. Arrange a handover meeting to transition tasks and responsibilities.
  3. Retrieve company property (keys, ID badge, equipment, etc.).
  4. Instruct the employee to unlock the iPhone:

 

1.    Unlock iPhone: Disable the passcode and sign out of iCloud.

Remove Device from the iCloud account.

·  locate iTunes & App Store.

·  Then tap the Apple ID at the top of the screen.

·  Next, View Apple ID. Confirm the action if asked. 

·  Then tap Remove this Device. You will see this option under iTunes in the Cloud.

Now he can sign iCloud off the device.

·  Open the Settings app and then Apple ID.

·  Then tap your Apple ID. Sign out or delete the account from the device.

Last remove any Security.  Remove any active PINs / facial recognition / or swipe security.

2.    Clear Personal Information

Packaging the Device

  • Secure Packaging: Use a box that fits the device snugly and cushion it with bubble wrap or foam padding. The goal is to protect the device during transit.

Labeling and Shipping

  • Generate Shipping Label:
    • If you have a UPS account online, you can generate your own shipping label, or
    • contact Customer Service: If you don't have a UPS account, contact Vantage Customer Service. They will mail you a return label, or
    • Go to the UPS store.
  • Label Information: Address the package to Vantage Apparel, Attn: IT dept, 100 Vantage Drive, NJ 07001.

Sending the Device

  • Drop Off: Take the packaged device to the nearest UPS store or schedule a pick-up.

After Sending

  • Track Package: Use the tracking number to monitor the shipment until it reaches its destination.

 

On Last Day

  1. Conduct exit interview.
  2. Confirm all tasks and projects have been handed over.
  3. Verify return of all company assets.
  4. Notify HR to process final paycheck.

After Last Day

  1. Remove from internal communications channels (CRM, email lists, Teams and other apps ).
  2. Update internal directories.
  3. Conduct a team meeting to discuss new work allocation.
  4. Store any essential files and documents in a secure location.

Front App Account migration (Before MS365 account removal)

  1.       Sign in to the Front user account and move conversations.
    1. highlight conversations ("Ctrl" and "A" for all)
    2. click "more..." button and slect assign to from the dropdown.
IT Department Off-boarding Checklist

Before Last Day

  1. Back up any important work files from employee's computer.
  2. Prepare to revoke access to internal systems.
    1. ERP
    2. VPN
    3. CRM and other applications with access controlled by IT.
    4. email, MS365,
    5. VAT, MyVantage.
  3. Set email forward to assigned by manager person.
  4. Remove any external sharing.
  5. Convert the mailbox to shared and assign to the Manager only.
  6. Phone forward.

On Last Day

  1. Revoke access to email and internal communication platforms.
  2. Disable VPN and remote access capabilities.
  3. Change all passwords.
  4. Disconnect any active connections or sessions.
  5. Collect all hardware (laptop, mobile devices, etc.).

After Last Day

  1. Wipe and reimage returned hardware for future use.
  2. Conduct a security audit to ensure all points of access have been terminated.
  3. Document all actions taken for compliance and record-keeping.
  4. Remove the account from AT and antivirus.
  5. Remove employee's data from cloud storage and backups after 60 days.
