VAT – Rep Setup

This work in this document is typically done by the Marketing department in collaboration with the sales team. Whenever there are any changes to Rep assignments, or when Reps are added/removed, the sales team is charged with notifying IT and the Marketing department that changes are needed.

NOTE: The Rep will need to have a web login created prior to continuing. Please search for the user in the VAT VA/77 Users page, if the Rep exists you may continue with setup. If the rep does not exist, either reach out to registrations@vantageapparel.com and/or review the following SOP for info about setting up the rep with a web login before proceeding…

REPS MENU

The Reps page is accessed using the SALES – REPS menu option in VAT.


 

REPS PAGE

The reps page in VAT is used to view a list of all Vantage Reps, and to add a new, or edit an existing rep.

 

·         New Rep Button– Used to create a new Rep.

·         Search Button – Returns all reps meeting the search criterion. Enter the First or Last name in the search text field to search.

·         Reps Dropdown – Used to filter the results by Rep Type.

·         Edit Button - Used to edit the associated Rep.

·         Delete Button - Used to delete the associated Rep.

 

NEW REP

This screen is used to search for the rep you are adding. Note that this requires the Rep has a Web Login already created.

Use the “Lookup by Lastname” button and associated textbox to search for the rep from the Web Registration table. When the rep is found, click the Select link for the associated Rep to copy some of the data from the registration table.


 

EDIT REP

This screen is used to Add/Edit the Rep’s information.

·         Name – The Rep Name.

·         Rep Number – Enter the Rep Number from Impress.

·         CSR – Specify the CSR if a CSR is assigned to the rep.

·         Rep Type – Select the Type, Inside or Outside Sales, Customer Service, or Fast Answer.

·         Division – Select the Division, Vantage Rep or Special Markets Rep.

·         POD – Reps assigned pod, for customer service reps.

·         Email – The Rep Email

·         Phone –Rep Phone Number.

·         Mobile – Rep Mobile Phone number.

·         Fax – If applicable.

 

Click the Save button to save the Rep or click the Back button to return to the Reps page.


 

STATES/REPS MENU

The States/Reps page is accessed using the SALES – STATES/REPS menu option in VAT.


STATES/REPS LIST

This screen is used to View the assignment of Reps by State. This data is shown on the "Sales Rep Locator" page on the Vantage Website. This is also used for any new registration emails, the "your sales rep" and "your customer rep" in the email are looked up using the registrants state against the State/Rep setup as well.


·         New Button – Click to create a new State/Rep assignment.

·         Edit Button– Click to edit the associated Assignment.

·         CSR – Click to Delete the assignement.

·         State Dropdown – Select the State to view the assigned reps for the state.

 


 

STATES/REPS EDIT

This popup is used to Select the Rep, their Role, and any State Part.

·         REP– Select the Rep.

·         Role – Select the Role.

·         State Part – Enter the state part if the state’s territory is split between multiple reps.
